The situation
Lotus Visa is an immigration consultancy in India. Their work is genuinely consultative — most enquiries need a proper conversation before anything can be quoted, so the consultation call is the heart of the business.
The problem was everything around that call. Every booking was arranged manually over phone and WhatsApp. Someone would enquire, a staff member would suggest times, the client would reply hours later, the slot would be gone, and the exchange would start again. Rescheduling meant repeating it. Reminders were sent by hand, when someone remembered.

The result
The headline number is roughly fifteen hours a week returned to the team — close to two full working days that had been going into scheduling admin.
The quieter wins mattered as much. No-shows dropped sharply once reminders became reliable rather than remembered. Bookings started arriving overnight and at weekends, when the office was closed and previously nothing could be captured. And because the resource guides answered the routine questions in advance, the consultations themselves became more productive.
Why it worked
Nothing here was technically exotic. The gain came from looking at where time actually went rather than at what the website looked like. Most businesses have one process quietly consuming a day a week — and it's rarely the one anybody would name first.
